Air
Airline Tickets are to be booked at your own expense and are not included in the conference arrangements. We suggest booking air arrangements as quickly as possible.

Please book your flights to arrive mid-day on Monday, November 15, 2021 at the Vancouver International Airport.

Return flights to your home city can be booked at anytime on Wednesday, November 17, 2021. Official check-out from the hotel is 11:00 AM.

Please upload your flight information during the registration process to ensure ground transportation to/from the airport is appropriately arranged. Ground transportation will be provided to/from the Vancouver International Airport on official program dates.

Covid-19 Vaccination
Everyone’s safety and wellbeing are our number one priority. The hotel, venues, restaurants & transportation companies in Whistler require all meeting attendees to be fully vaccinated against Covid-19. Therefore, proof of double vaccination is required in order to participate in the program.

Baggage Allowance
One Carry-On item is allowed per guest. Checked baggage may incur a fee at your expense, paid directly to airline at time of check-in. We recommend you check your airline’s website prior to departure for their most current policies and procedures regarding travel protocols.  

Carry-on Items
Liquids (perfumes, gels, pastes, liquid cosmetics, creams, sprays, shaving creams, etc.) must be in containers with a maximum capacity of 3.4 ounces. These containers must then be placed in a clear, re-sealable plastic bag (available at the airport if needed) with a capacity of no more than 1 quart. One bag per passenger permitted.

Important Note: Customers and employees of all airlines are required to wear a face mask, or appropriate cloth face covering over their nose and mouth throughout their travel, aligning with best practice guidelines from the PHAC. Plastic face shields may be used in addition to a mask but are not approved mask replacements. Please ensure you follow this procedure to ensure the safety of yourself and all passengers on-board. Proof of Full Vaccination may also be required.

Passport
Canadians are not required to provide a passport. However, proof of permanent residency would be required. Valid photo identification would be required only at check-in.

Entry/Exit Requirements
There are currently no quarantine requirements when arriving from outside provinces however, delegates must follow the same province-wide restrictions as everyone in British Columbia.

Climate
In November, the average daytime high in Whistler is 4°C, and average evening low is -1°C. Sunrise is approximately 7:40am, and sunset at approximately 5:20pm.

Clothing
During the day, casual attire is appropriate and comfortable walking shoes / boots are recommended.
For the business meeting, smart casual attire is recommended.
For evenings, smart casual attire is recommended.

Casual attire
Ladies – Jeans, long sleeve blouses, casual dresses and winter jacket and sweaters.

Ladies – Casual dresses, skirts, blouses, tops, slacks and smart jeans.
Gentlemen – Slacks, smart/dressy jeans, shirts,  sweaters or jackets.

Post Program Hotel Extensions
All attendees have confirmed reservations at the Fairmont Chateau Whistler for group dates. Hotel extensions are permitted post program only. If you wish stay at the hotel post program, extension requests are subject to availability. The negotiated group rate at the Fairmont Chateau Whistler is $239.00 ++ and is subject to availability and rate fluctuation.

If you wish to extend, please provide your extension requests on your registration form and a representative from the BMW Concierge will contact you to confirm your extension request once availability is confirmed with the hotel.

Individual Expenses
Items of a personal nature such as leisure activities outside of group-planned functions, gift purchases, phone calls, bar charges, mini bar and laundry, etc. will be at your own expense. You will be asked for a credit card upon check-in at the hotel to maintain an incidental account to cover your personal expenses. Please make sure you settle this account prior to checking out.

Whistler is located in the Pacific Standard Time Zone (UTC−08:00).

Conference Inclusions
You are a special guest of BMW Canada. Your hosts have arranged all hotel accommodations, designated meals, luggage handling, transfers, and taxes related to events specified in your Program of Events. All gratuities for planned functions have been pre-paid. Additional gratuities are at your discretion.

  • Return transfers between the Vancouver International Airport and the hotel on group travel dates
  • Hotel accommodation from Monday, November 15, to Wednesday, November 17, 2021
  • All group transportation, and functions as shown in the itinerary
  • Hotel porterage and housekeeping gratuities over meeting dates

Note: Round-trip airfare from your home city to Vancouver, B.C. is not included in the conference.

Safety & Well-Being Protocols
While physical distancing and frequent hand washing remain the best defenses for the spread of the Covid-19 virus, when is not possible for example in lobbies and other public areas, team members and guests are required to wear a face covering/mask. According to the PHAC (Public Health Agency of Canada) and WHO (World Health Organization) face coverings/masks serve as a protection measure for others vs. oneself. Fairmont Chateau Whistler is following this recommendation.
